Terms and conditions

1. Introduction

These Terms and Conditions ("Agreement") govern the participation in the WIAC2025 – 6th Workplace and Indoor Aerosols Conference ("Organizer") by both sponsors and attendees. By registering for or sponsoring the event, participants agree to comply with these terms.

2. Sponsorship Terms

2.1 Sponsorship Benefits

The Organizer will provide the Sponsor with the benefits outlined in the sponsorship agreement, which may include but are not limited to:

Exhibition space at the conference venue.
Opportunities for networking and engagement with attendees.

2.2 Sponsorship Fee & Payment

The Sponsor agrees to pay the sponsorship fee as per the agreed package.
Late payments may result in the loss of sponsorship benefits.

2.3 Use of Sponsor’s Branding

Any modifications to the Sponsor’s branding must be approved in writing.

2.4 Sponsorship Cancellation Policy

If the Sponsor cancels more than 30 days before the event, a 30% refund will be issued.
If the cancellation occurs within 30 days of the event, no refunds will be granted.
The Organizer reserves the right to cancel sponsorship agreements due to unforeseen circumstances, in which case a full refund will be provided.

3. Attendee Terms

3.1 Registration & Payment

Attendees must register for WIAC2025 through the official registration system.
Registration fees must be paid in full before access to the event is granted.
The Organizer reserves the right to refuse registration if payment is incomplete.

3.2 Cancellation & Refund Policy for Attendees

Cancellations received before 30 days prior to the event will be eligible for a partial refund of 30% of the registration fee.
No refunds will be granted for cancellations made within 30 days of the event.
Refund requests must be submitted in writing to the Organizer.

3.3 Attendance & Code of Conduct

All attendees must behave in a professional and respectful manner throughout the event.
Any form of harassment, discrimination, or disruptive behavior will result in expulsion from the event without a refund.
The Organizer reserves the right to remove attendees who violate the event’s code of conduct.

3.4 Age Restriction – No Minors Allowed

Participation in WIAC2025 is restricted to individuals aged 18 years and older.
The Organizer reserves the right to verify the age of attendees at registration or upon entry.
Minors (under 18 years old) will not be allowed to attend any part of the conference, including exhibitions and networking events.
No refunds will be issued for registrations made by individuals who do not meet the age requirement.

4. Liability & Indemnification

The Organizer is not liable for any loss, damage, or injury incurred by Sponsors or Attendees during the event.
The Organizer is not responsible for travel disruptions, hotel cancellations, or force majeure events affecting attendance.
Sponsors and Attendees agree to indemnify the Organizer against any claims arising from their participation in the event.

5. Compliance with Regulations

All participants must comply with local laws, venue regulations, and event policies.
Promotional materials must align with ethical and professional standards.
The Organizer reserves the right to refuse offensive, misleading, or inappropriate content in promotional or sponsorship materials.

6. Termination of Participation

The Organizer reserves the right to deny participation or sponsorship benefits if:

A participant engages in activities that harm the reputation of the event.
A sponsor or attendee fails to comply with payment or registration terms.
An individual violates the event’s code of conduct or legal regulations.

7. Governing Law & Dispute Resolution

This Agreement is governed by the laws of Italy.
Any disputes shall be resolved through arbitration before legal action.

8. Acceptance of Terms

By registering as an attendee or entering into a sponsorship agreement, the participant acknowledges that they have read, understood, and agreed to these Terms and Conditions.

9. Data Protection & Privacy
The Organizer will process Sponsor and Attendee personal data in accordance with GDPR and applicable data protection laws. By registering or sponsoring, you agree to the collection and processing of your personal data as described in the WIAC2025 Privacy Policy.

10. Force Majeure
The Organizer shall not be liable for any failure or delay in performing its obligations due to unforeseen circumstances, including but not limited to acts of nature, war, pandemics, labor strikes, technical failures, or government-imposed restrictions. In such cases, the Organizer reserves the right to reschedule or modify the event format without liability.
